Estimates and invoicing

Give the customer one consistent path from proposal to payment.

Aeglio keeps the commercial record, recipient choices, branded documents, customer response and collection history connected instead of rebuilding each message by hand.

Built for

Owners, sales teams and finance users responsible for proposals, billing and customer communication.

Authorized users control templates and delivery while customers receive focused public documents without access to the internal workspace.

How it works

One continuous process with a clear next step.

  1. Prepare the commercial record

Create an estimate from a deal or independently, with the correct client, currency, rows, taxes and validity period.

  2. Apply the customer experience

Use the team logo, brand colours and localized email and PDF template for the customer’s language.

  3. Choose the recipients

Send directly to the client’s billing email, selected contacts or both without requiring a separate contact for an individual client.

  4. Collect the response

Let the customer accept or reject through a signed public page and notify the responsible team member when the decision arrives.

  5. Create and deliver the invoice

Convert accepted work or invoice reviewed project work, then choose secure-link, PDF or supported e-invoice delivery.

  6. Follow collection

Keep reminders, online payment, manual payments and bank reconciliation connected to the original invoice.

The real Aeglio workflow

Review the real document before it reaches the customer.

Template settings render a full PDF preview even before the team has created its first invoice or estimate. The same document rules then apply to generated PDFs and customer-facing pages.

Aeglio keeps proposals, validity dates and customer response states together. The company and figures shown are fictional.

A practical example

A customer wants the estimate in Estonian and the invoice copied to finance.

The sender selects the Estonian template, sends the estimate to the decision-maker and later delivers the invoice to the client billing email with the finance contact included. Both messages use the same team brand and remain visible in history.

What Aeglio provides

Useful capability at every handover.

Each stage uses records already reviewed in the previous stage, so context stays connected.

Shared brand settings

Use one logo, primary colour and background colour across invoice and estimate documents and public pages.

Localized reusable templates

Maintain email subject, HTML body, document title and footer content for every language available to the team.

Configurable document layouts

Choose the document style and which commercial columns appear while keeping required line-item context visible.

Flexible billing recipients

Use a client billing email for companies or individuals and add contacts only when another recipient is needed.

Public customer actions

Offer signed estimate acceptance or rejection and Stripe Checkout on eligible public invoices.

Traceable delivery

Keep recipient, delivery mode, sender, reply-to address, reminders and customer responses beside the financial record.

Human control

Templates set the default, but the sender keeps control.

A sender can review recipients, language, reply-to address, delivery mode, subject and message before delivery. Public links expose only the intended customer document and signed actions, while internal history remains permission-protected.

Questions about this workflow

Does every client need a contact?
No. A client can receive documents through its own billing email. Contacts are optional additional recipients.
Can each language have different content?
Yes. Email subjects and bodies, document titles and footer content can be maintained per supported language.
Can the sender change the message for one invoice?
Yes. The localized template provides the default, and the sender can review or adjust supported delivery fields before sending.
Can a team preview a template before creating an invoice?
Yes. The template settings can generate a representative preview without requiring an existing financial document.
