How to connect Aeglio with Merit Aktiva
Keep operational work in Aeglio and send reviewed accounting records to Merit Aktiva without entering the same invoice, expense or payment twice.
The short answer
Create a dedicated API ID and key in Merit Aktiva, connect them under Aeglio team integrations, refresh the available accounting data, and confirm the mappings your company needs. Finalized sales invoices and approved supplier expenses can then be sent from their detail views. Payment synchronization can remain off, run only when requested, or happen automatically.
Create the Merit API credentials
In Merit Aktiva, open Settings, Company data and API settings. Create a separate API credential for Aeglio and label it clearly. Merit states that API access is available for Pro and Premium companies, and the main user creates the credentials.
Treat the API ID and key like a password. Enter both values in Aeglio under Team settings and Integrations. Aeglio verifies the connection before it is marked active and does not display the stored key again.
- Use a separate Merit credential for Aeglio so access can be revoked independently.

Refresh accounting data and confirm mappings
After connecting, select Update Merit data. Aeglio imports the reference lists needed for controlled exports, including items, accounts, VAT rates, banks and any available dimensions.
Choose default sales and purchase items and accounts, then map Aeglio VAT rates and expense categories. Department, cost centre, dimension and project mappings are optional. Client and supplier links are created automatically when records are sent, so add a manual counterparty link only when an existing Merit record must be reused.
- Review VAT mappings before sending the first live document.
- Map each Aeglio bank account if payments can come from different accounts.
- Run Update Merit data again after changing accounts, VAT rates or dimensions in Merit.
Send sales invoices and supplier expenses
Open a finalized sales invoice or an approved supplier expense in Aeglio. Under Actions, choose Send to Merit Aktiva. Aeglio validates the document and mappings before placing it in the accounting outbox.
Sales invoices include customer, rows, VAT, accounts and configured dimensions. Supplier expenses include the supplier, expense rows, VAT and the original purchase document when available. A successful export appears in the right-side accounting status panel and in the shared Accounting view.
- Correct any preflight message at its source instead of repairing the document twice.
- Aeglio retains the Merit document identity and checks uncertain results before allowing another creation attempt.
- If a request result is uncertain, Aeglio holds it for recovery instead of blindly sending another copy.
Choose how payments synchronize
Payment synchronization is a separate setting. Choose Never when accounting staff record payments in Merit, Manual when a user should explicitly send payment changes, or Automatic when accepted Aeglio payment changes should follow the exported document.
When payment synchronization is enabled, map each Aeglio bank account to the corresponding Merit bank. This preserves which account was used. Adding or removing a payment synchronizes a payment entry against the existing exported document instead of creating another invoice or expense.
- Never is the safest choice when Merit remains the source of truth for payments.
- Manual keeps each payment handoff visible to the user.
- Automatic reduces repeated work when payments are consistently maintained in Aeglio.
Monitor the accounting outbox and recover safely
The Accounting view shows pending, sent, failed and review-required handoffs across invoices and expenses. Open a row to see the source record, provider response and next available action.
Fix a failed record or mapping and send it again. If someone deleted the corresponding document in Merit, use the explicit deleted-document recovery action. If Merit accepted a purchase document with a different total, Aeglio stops payment synchronization and shows both totals so VAT handling can be corrected before the document is recreated.
- Use the outbox to review integration work across the team.
- Do not recreate a document unless you have confirmed that the Merit copy is gone.
- Disconnect the integration from the same team settings area when access should end.

- No. Aeglio manages operational work, approvals, invoicing and banking review. Merit Aktiva remains the accounting system.
